Club Policy Rules & Regulations

General

The club will not be responsible for loss or damage to property of members or guests. You are advised to insure your clubs or equipment with your insurer. Members will be legally and financially responsible for damages to the club property such as windows, damage to power carts, or whatsoever caused by them or their guests. Members and their guest shall not bring to or have on club property any intoxicating beer, wine or spirits not purchased from the club. If the club occurs any penalty or liability by reason of breach of this regulation by any member or guest, such member shall indemnify and save harmless the club. The General Manager or their designate may at anytime, without stating the reasons deny guest privileges of any individual.

Standards of Conduct

Members of Sleepy Hollow Country Club are expected to respect and adhere to the Club's general standards of conduct, as follows:


Maintain courteous relations with the Club, employees, fellow members and guests.

Uphold the highest standards of personal conduct so to reflect the image and stature of the club.

Familiarize themselves with, and abide by, the spirit and rules and regulations of the club.

Observe the highest standards of conduct and integrity when representing the Club at outside events.

Conduct of any member that is detrimental to the best interests of the Club will be immediately referred to the Directors or General Manager for disciplinary measures, which may include suspension of privileges or the termination of membership.

Harrassment

Sleepy Hollow Country Club does not tolerate harrassment.  Any form of harrassment related to race, colour, sex, religion, national origin or age is a violation of this policy and will be treated as a serious disciplinary matter.  This policy applies to Members, guests and employees.

Employees

Members and guests shall not reprimand employees or discuss Club affairs with any employee.  Complaints and concerns shall be directed in writing to the General Manager, Head Golf Professional, Golf Course Superintendant, or Food and Beverage Manager, as appropriate.

Alcohol

Sleepy Hollow Country Club is licensed under the Alcohol and Gaming Commission of Ontario (AGCO). To ensure enjoyment of the Club, Members and guests shall abide by the rules and regulations as set out by the AGCO.  Alcohol shall not be brought on to the property or removed at any time.

Sleepy Hollow Country Club reserves the right, with or without notice, to add, delete, change, or modify its operating policies and procedures at any time, in the best interests of the club.

Expulsion and Suspension of Members



If a Member or guest, at any time, does not comply with the rules and regulations of the Club as are in force, or if the conduct or behavior of any such person, whether inside or outside the Club, is in the opinion of the Club, injurious or detrimental to the character, reputation and image of the Club and its Members, the Club may call upon the Member to resign.

If the member refuses to resign within seven days of a request to do so, the Club may expel the Member and upon expulsion shall cease to be a Member of the club and the Membership shall be forfeited to the Club.

Instead of calling on the Member to resign, the Club may, at its discretion, suspend the offending member from use of the Club and from all of the rights and privileges of Membership for such a period as determined by the Club.

It is specifically provided and acknowledged that non-compliance with the rules and regulations of the Club shall be cause for the Club to expel or suspend the member.

Liability on Cessation of Membership

Any person ceasing to be a Member, regardless of how the Membership ceased, shall be liable for and shall pay all amounts owing to the Club.  Any persons ceasing to be a Member shall forfeit all rights to use the Club and all cards, badges and documents to that persons Membership.

Reinstatement of Members

The Club may, at its absolute discretion, on written application by a person who has been expelled, reinstate such person as a Member or restore any rights and privileges that have been suspended.
 

House Minimums

All Sleepy Hollow Country Club members with the exception of Juniors and Holding are subject to the following minimum house accounts.
April $75.00 May to October $95.00
Minimums will be divided into 4 billing periods. (prior to May 31st.) (June-July) (August-September) (October including Closing Dinner Dance in November)
Members changing their category status for the following year are still responsible for the current seasons house minimums cycle that expires in October.
House minimums apply to food and beverage only, and do not include HST, and Service Charge. Members are required to clearly show their membership number on all forms for food and beverage. A 15% service charge will be added to all chits for food and beverage. Members who do not reach the minimums for the above periods will automatically be charged the difference plus HST on their credit card.

Hole-In-One Fund

All members will be billed $2.00 to their account after any member has made a hole-in-one. On that day the member and their group will receive a complimentary round of drinks from the fund. All other monies collected will be accumulated until the end of the season and will be used for a hole-in-one celebration party for all members and each hole-in-one member will receive a special commemorative gift from the fund. Hole-in-one charges do not apply towards house minimums.

Dress Code

Members and guests are to be properly attired on the course, in the clubhouse and all facilities. The following is a list of suitable attire.
Gentlemen • Golf or sport shirt with collar and sleeves • Dress or casual slacks • Shorts (Bermuda or tailored walking shorts no more than 4 inches above the knee) • Golf shoes with “non-metal spikes” or running leisure shoes with soft soles.
Women • Golf or sport blouse • Skirts, culottes, casual slacks • Shorts (Bermuda or tailored walking shorts no more than 4 inches above the knee) • Golf shoes with “non-metal spikes” or running leisure shoes with soft soles.
Members are responsible for ensuring that their guests be advised of and adhere to the dress code. Your full cooperation is expected with club staff in this area. Significant abuse of the Dress Code can result in the General Manager temporarily suspending privileges.

Guests

Are welcome at the club in the company of a member, who shall be responsible for all financial obligations incurred. Spouses and family members are encouraged to attend social functions as guests. Guests may be introduced to the club a maximum of 6 times per season for golf. Guests are often welcome for dinner, dances or other social events.

Guest Privileges

All guests must be registered in the Pro-Shop prior to golf and all guests on the course are subject to the appropriate greens fee. Children are not permitted on the golf course unless 10 years of age or older and must be closely supervised whenever on the club premises.

Sign In

All players are required to sign in at the Pro-Shop upon arrival at the club. All players must start on the 1st tee unless otherwise directed by the Pro-Shop or starter.

Tee Off Times

Members are encouraged to reserve tee times in advance. When booking tee times it is required that all members’ names of the players be listed. Openings in any twosomes or threesomes will be filled by the Pro-Shop staff if necessary. No-shows or duplicate bookings may result in loss of advance booking privileges. Any individual without the permission of the Head Professional may reserve only one tee time.
Weekdays (excluding holidays): Online tee times may be reserved seven days in advance either in person or by telephone commencing at 8:00 am.
Saturday: Online tee times may be reserved commencing at 1:30 pm on Monday either in person or by telephone.
Sunday: Online tee times may be reserved commencing at 1:30 pm on Tuesday either in person or by telephone.
Holiday Monday: Online tee times may be reserved commencing at 1:30 pm on Wednesday either in person or by telephone.
For any of the above reservations days the Pro Shop staff will alternate between “in-person” and telephone reservation when necessary. In order for the Pro Shop staff to assist as many as possible without delay we will always offer the tee time closest to your request.

Handicap Computer

Sleepy Hollow Country Club is connected to the GAO golf handicap network and the computer is located in the Pro-Shop. Players are requested to post all scores into the computer to accurately verify golf index/handicaps. Pro Shop staff will gladly assist you at any time.

Locker Rooms

Are located on the lower level of the building, adjacent to the Pro Shop. Members are cautioned not to leave any valuables in their lockers. The club will not be responsible for any loss, theft or damage. Towels are not to be removed from the locker room area.

Bag Storage and Club Cleaning

This service is available for all golf members and is included in your annual fee. Please contact the Pro Shop to inquire about this service. The club will not be responsible for any loss, theft or damage.

Power Carts

Please ensure that proper use of carts is maintained at all times. Obey all signs and roped areas and use the cart path wherever they are provided. At most times you will be requested to obey the 90-degree rule.
It is expressly understood that Sleepy Hollow Country Club or any of its agents/employees will not be responsible for any injuries, death or damages sub stained by the renter or driver of or passenger or guest while riding in or alighting from or getting into or on said vehicle, or any other use thereof. The renter is responsible for the return of the cart at the expiration of rental time limit and shall be charged with the cost of replacement or repairs of lost or damaged carts.

Pull Carts

Complimentary pull carts are available for use at any time for all members and guests. Please return pull carts to the Pro Shop area at the completion of your round.

Restaurant

Monday to Friday the restaurant will be open from 10:00 am. Saturday, Sunday and Holidays the restaurant will be open from 8:00 am. Dining Room and Restaurant hours may change during the spring and fall months. Changes to these hours will be posted on the club bulletin boards and newsletter.

Half Way House

The Half Way House will be open on a seasonally adjusted basis. Snacks, cold drinks, beer, etc. will be available. Items purchased in the Half Way House will apply to “House Minimums”.

Special Events

Throughout the year we will be offering a variety of special events for your enjoyment. All special events will be announced in the newsletter as well as on the clubs bulletin boards. Some events may require a minimum number of reservations so please make your reservations as early as possible.

Special Events and Golf Sign Up Sheet

Gentleman: Located in the men’s locker room. Ladies: Located in the ladies locker room. Mixed: Located in the downstairs foyer between the locker rooms.

Suggestions or Concerns

You are encouraged to bring any suggestions or concerns to the Department Head of the particular area in a reasonable and constructive manner. Written and signed concerns will receive prompt consideration by all management staff.

Outside Events

Members are encouraged to utilize the facilities for any special function. Please contact the Head Professional or Event Coordinator for details and reservations.
The club will entertain golf events two days each week on any Monday, Tuesday and/or Thursday. A calendar of these scheduled events will be mailed with your newsletter. Any changes or updates will be posted in the Pro Shop and the club bulletin boards.

Memberships

Sleepy Hollow Country Club is a private golf club offering the membership a varied social and recreational program. The club will be pleased to accept new applications for membership, providing positions are available. The club membership is now limited to 300 full adult golfers. Fee structures are available by contacting the golf professional.
Golf membership may last a lifetime providing one of the following membership categories is selected and dues are paid each season.

Full Membership:

Provides social, golf, and all clubhouse privileges at all available times

Twilight Membership:

Provides social, practice range and clubhouse privileges at all times. Golf is limited to tee times after 4pm from season opening to Victoria Day.  Victoria Day to Labour Day 5pm.  Labour Day to end of season 4pm. 7 days per week.

Five by Seven:

Provides social, practice range and clubhouse privileges at all times. Full access to all available tee times Monday to Friday (excluding Holidays)and access to available tee times on Saturday, Sunday and Holidays after 3pm.

Intermediate Membership:

Available to members’ children between the ages of 20 to 35 (as of April 1st). Intermediate membership provides social, full golf, and clubhouse privileges.

Junior Membership:

Available to members’ children between the ages of 12 to 18 (as of April 1st). Junior members may reserve starting times 24 hours in advance, and may play at the following times (subject to availability).
12-16 years
May play in any available tee times Monday, Tuesday, Thursday (not including holidays) Wednesday and Friday after 5pm with adult member.  Weekends and Holidays after 2pm with adult member.  After 4pm with no adult.
17-18 years
Same restrictions with these modifications.  Wednesday and Friday after 5pm, no adult required.  Weekends and Holidays after 12.30pm with adult member.  After 2pm no adult required.

Social Membership:

Social, and clubhouse privileges at all times. Social members may play golf up to 6 times per season with payment of appropriate fee. Practice facilities cannot be used at other times.

Holding Membership:

Is valid for one year only and does not allow any privileges whatsoever during the holding season. A holding member may attend the club a maximum of 6 times per season as a guest of another member with payment of appropriate fee. If membership in one of the other membership categories is requested within the same year, the entire holding fee is forfeited.

Membership Fee

Membership fees are due in six (6) installments and will be billed to your credit card on November 1st, December 1st, January 1st, February 1st, March 1st & April 1st. for the upcoming season.
Members wishing to pay cash or cheque may do so providing the amounts are received in full prior to November 1st. Membership fee will extend from April 1st to December 31st.

Membership Resignation

Resignation and changing categories must be forwarded to the attention of the General Manager. This document is to be delivered, faxed or emailed to the club and must arrive no later than October 31st, for the following season. If a member has not officially resigned or changes categories, annual dues for the last selected category will be billed under the normal procedures as explained above.
Members resigning between November 1st to March 31st will be reviewed using a prorated (150 days) basis to the date of actual resignation. There will be no consideration to resignation after April 1st of any given year.
